About the Role 

We are looking for a polished and passionate Front Desk Concierge to be the welcoming face of TOULA. You’ll be the first point of contact for our guests and play a vital role in shaping their experience from the moment they walk through our doors. This position requires exceptional communication, organization, and a deep appreciation for detail and hospitality.

Key Responsibilities 

Guest Experience & Studio Flow 

  • Greet and welcome guests with professionalism, warmth, and attentiveness 

  • Manage the daily guest flow to ensure a seamless and positive experience 

  • Ensure the studio is always immaculate, calm, and reflective of the TOULA brand 

  • Guide guests through intake, treatment preparation, and check-out with grace and efficiency 

  • Provide thoughtful product and service recommendations with training and support from our team 

 

Front Desk Operations 

  • Manage bookings, appointment confirmations, and client communication through Zenoti (or similar booking system) 

  • Handle client check-ins and check-outs, process payments, and maintain accurate records 

  • Maintain familiarity with all services, promotions, and skincare products offered 

  • Monitor inventory of front desk supplies and retail items; assist in restocking and merchandising as needed 

  • Assist in the coordination of team schedules and appointment flow 

 

Communication & Brand Representation 

  • Respond promptly and professionally to phone calls, emails, and inquiries 

  • Support digital communication including appointment reminders and follow-up emails 

  • Maintain a positive, proactive attitude when resolving scheduling concerns or client questions 

  • Represent TOULA’s values and visual aesthetic in all in-person and digital interactions 

 

You Have: 

  • 1–2+ years in a luxury hospitality, spa, aesthetic, or customer service setting 

  • A passion for skincare and wellness; background in medical aesthetics is a plus 

  • Excellent interpersonal and communication skills 

  • Confidence managing a digital POS or booking platform (Zenoti or similar is an asset) 

  • Impeccable attention to detail, organization, and time management 

  • A calm and friendly demeanor even under pressure 

  • A team-first attitude and a love of delivering elevated guest experiences 

  • Professional, polished presentation with alignment to TOULA’s brand
